In a professional practice, the billable hour lost hunting for documents in old e-mails is the most expensive hour in the firm — and no report ever shows it.
Accountants, lawyers and consultants sell time and expertise, yet a surprisingly large slice of the day goes somewhere else: chasing missing documents from clients, drafting the same letter with different figures for the tenth time, hunting for the final version of a contract through e-mail attachments. Digitalizing a practice targets precisely those leaks — automatic generation of repetitive documents from templates and structured data, a portal where the client uploads their own paperwork and follows the status of their case, an electronic archive where any file surfaces in seconds with full version history. On funding, professional services sit in an unusual position, and the obstacle is how the calls are built rather than the budget: one ties the right to apply to the applicant's authorised CAEN activity code, the other to a credit-backed investment. POCIDIF Action 2.1 accepts nine codes, all from electronic components manufacturing and IT services. The Swiss SME Eco-Tech scheme dropped its manufacturing-only condition on 7 July 2026 and now admits trade, services and micro-enterprises, but it still finances an investment: a project starts at RON 668,100 in eligible costs, at least 60% has to be borrowed from a partner bank, at least 40% of eligible costs must go to green equipment, and business software is eligible only up to RON 15,000 excluding VAT. Checked on 30 July 2026, no national call finances the digitalization of a practice. What remains are the regional programmes, each publishing its own list of eligible codes, and the EDIH network of European Digital Innovation Hubs, which contracts advice and testing services rather than paying a grant. What the funding landscape looks like for practices and consultancies
The useful truth, stated plainly: the two active national schemes exclude a practice for two different reasons. POCIDIF Action 2.1 decides eligibility on the authorised CAEN code and rejects an applicant without it at contracting stage. SME Eco-Tech no longer restricts itself to manufacturing — trade and services became eligible on 7 July 2026 — but it caps eligible business software at RON 15,000 excluding VAT and requires a partner-bank investment loan plus a green-equipment share of at least 40% of eligible costs, so a practice's platform cannot be its subject. That is why the realistic plan has two threads: the subsidised EDIH services — digital assessment and technology testing, contracted rather than paid out — and the regional calls, each with its own list of codes.
When a regional call opens, its guide establishes who is eligible and which costs qualify; a practice that has already analysed its processes will be able to move fast, but the budget itself has to be rewritten onto that call's cost categories.
What we actually implement in a professional practice
The core trio: the template engine that generates recurring documents, the client portal with document upload and status tracking, and the indexed electronic archive with full-text search. On top of it, depending on the practice: time tracking per case and time billing, deadlines and notifications, e-mail integration and electronic signature.
Each component goes into the budget with a price and a verifiable result, and delivery happens in stages, with an acceptance report and role-based training — the case administrator learns different flows from the partner who approves.
