CRM pricing: subscriptions, setup and the adoption cost nobody quotes
The subscription is the visible part — adoption by the team is the cost that decides everything.
On paper a CRM can start at zero: Zoho CRM advertises a free edition for three users in the title of its own pricing page, and Bitrix24 advertises a free plan for one to two users on its pricing card — while the FAQ on that same page says user numbers are unlimited on it. In practice the subscription is the small line on the bill, and the unit of measure differs from vendor to vendor: Pipedrive lists €14–79 per seat per month billed annually, Bitrix24 prices per organization at USD 49 per month for five included users, and Romanian vendor Zarina CRM sells a one-off licence at €2,990 plus VAT with unlimited users on your own server. For a SaaS CRM to be genuinely used by a sales team, you need configuration around your process (pipeline stages, fields, reports), migration of contacts out of spreadsheets or the previous system, and integration with email and telephony — services that cost an indicative €1,000–5,000. And if your sales process is unusual enough that no existing product fits without painful compromises, a custom CRM starts at an indicative €5,000: €5,000–8,000 for a complete core of customer records, quotes, activities and reports, and €8,000–40,000 for a full system with atypical flows and deep integrations. The real cost: adoption, not the subscription
From our own projects, CRM implementations fail humanly rather than technically — salespeople keep working from notebooks and spreadsheets, and the CRM becomes a graveyard of data entered under duress on Friday afternoons. A correct budget therefore includes role-based training from the start, clean contact migration (duplicates and five-year-old records are not worth importing), and integration with the tools already in use: when emails and calls log themselves automatically, the team loses its reason to bypass the system.
A concrete case: a B2B services firm with 8 sales agents picks an entry plan at €14 per user per month, billed annually — €112 a month, or €1,344 a year. It adds one lead-generation add-on at €32.50 a month, another €390 a year, plus a €2,500 implementation with spreadsheet migration and two training sessions. First-year total: an indicative €4,234, of which licences are only €1,344 — less than a third of the bill. Is starting on a free CRM plan worthwhile?
For very small teams yes, but read the threshold on the vendor's own page rather than in someone else's summary: the free Zoho CRM edition is advertised for three users in the title of their official pricing page. Bitrix24 describes its free plan on the pricing card as being for one to two users, while the FAQ on the same page states that you can add an unlimited number of users on it — two different claims, inches apart. The limits that matter show up in automations, pipeline count and integrations. Pipedrive offers a 14-day free trial with no card required.
When does a custom CRM beat a SaaS one?
After two conditions are met: you have tried 2–3 existing CRMs and your process genuinely does not fit without compromises that cost you sales, and your volume makes the licence savings over 4–5 years matter. Under 10 users with a standard sales process, the custom route rarely justifies itself. Above that threshold the core of an in-house system is an indicative €5,000–8,000, and a full build €8,000–40,000.
What does migrating data into the new CRM cost?
From a clean spreadsheet, migration is often included in the implementation. From another CRM, or from multiple duplicate-ridden sources, budget a separate €500–2,000, indicatively. A practical tip: use the migration to purge the base — contacts with no activity in the last 2–3 years inflate both your cost and your reports for nothing.
Does a CRM integrate with invoicing and the ERP?
Yes, and the price depends on the starting point. If your invoicing software or ERP already ships an e-Factura module, activating and configuring it costs an indicative €0–500; if invoices leave an in-house system, integration with the ANAF API lands at €1,000–5,000; and a direct link between two systems that both expose a documented API starts from an indicative €1,000. It is worth doing: a won deal that automatically becomes an invoice removes exactly the manual re-entry that breeds errors.
