What is BPM (business process management)?
BPM (business process management) is the discipline through which a company identifies, models, executes, measures and continuously improves its ways of working — usually with dedicated software.
Every company has processes; very few have them drawn. How a quote gets approved, who signs off a payment, what steps a complaint travels through — most of the time these routes exist only in the heads of a few people, with variations depending on the mood of the day. Business process management is the discipline that takes processes out of folklore. It maps them step by step, assigns owners and deadlines, executes them through software so the task reaches the right person with the documents attached, and measures them: where requests get stuck, how long an approval takes on average, which step generates the errors. Only then comes the valuable part, which is continuous improvement based on evidence rather than impressions. The relevance test for any owner is short. If the answer to why is this taking so long is I will have to go and ask, the company runs on invisible processes — and invisible processes can neither be delegated nor scaled, because every new hire receives them verbally and slightly degraded.

Why it matters for your business
Bottlenecks made visible and fixable
Measuring each step shows exactly where requests wait — the permanently busy approver, the redundant step, the incomplete form — turning efficiency debates from blame into numbers.
Processes that survive staff turnover
Flows documented and executed in a system outlive the people who designed them: a new employee becomes productive in days, guided by the process, not in months of oral apprenticeship.
Scale without administrative chaos
Twice the order volume passes through the same automated flows without twice the back-office headcount — growth rests on process rather than on individual heroics.
Frequently asked questions
How does BPM differ from simply automating a few tasks?
Point automation solves one task: an email sent automatically, a file moved. BPM looks at the whole chain — who does what, in which order, under which rules and deadlines — and only then automates the steps where it makes sense. You can perfectly automate one step of a badly designed process; BPM fixes the process first and accelerates it second.
Which process should a mid-sized company start with?
A frequent, painful and clearly bounded one. Supplier invoice approval, onboarding new employees or handling complaints are the classic candidates. One pilot process digitised end to end in a few weeks builds the team's confidence and shows the pattern for the next ones. The wrong start is the mammoth project that tries to cover everything at once.
Do I need dedicated BPM software, or will our ERP do?
It depends where the processes live. Flows tied closely to accounting documents and stock are often covered by the ERP's own workflow engine, whereas cross-cutting processes — assorted approvals, internal requests, collaboration between departments — model more naturally in dedicated workflow platforms with configurable forms and rules that need no programming. Many companies land healthily on a combination of both.
