What is a WMS (warehouse management system)?
The brain of the warehouse: the system that knows every location and every movement, and tells operators what to pick, from where, in what order.
The difference between a storeroom and a run warehouse is a system. A warehouse management system administers physical operations at the level of location and movement — not merely that you hold 340 units, which is all the stock module of an ERP knows, but that 200 sit on shelf A3-2, 100 on B1-4 and 40 in the receiving area, and that for the current order you should walk to A3-2 because it lies on your route. It dictates every step to operators, usually through handheld scanners. Receiving, where arriving goods are scanned and assigned a location rather than left wherever there was space. Put-away. Order picking with optimised routes that remove kilometres of walking from a working day, the classic source of doubled productivity in warehouses migrating off paper. Checking and packing, where a scan catches the wrong item before the courier does rather than after an angry phone call. And continuous counting by zone, which replaces the weekend of full stock-take with everything halted. Its relationship with the ERP matters so nobody buys the same thing twice: the ERP knows what you have and what it is worth at the commercial and accounting level, while this system knows where each unit physically sits and how to move it efficiently.

At what warehouse size does a management system pay for itself?
The threshold is not floor area but operations and the cost of errors: dozens of multi-line orders a day, delivery mistakes visible in returns and reviews, dependence on the one person who knows where everything is and on their holiday schedule, stock counts that never reconcile. Any two of those justify the conversation. Below the threshold, an ERP stock module with locations plus labelling discipline carries you a long way; above it, the system typically repays itself through picking productivity and vanished errors.
A separate system or the warehouse module of our ERP?
The sound order of evaluation puts the existing module first, since native integration is free and one supplier is simpler, and it covers straightforward operations with locations perfectly well. A dedicated system enters when operational requirements exceed that: serious route optimisation, picking strategies by wave, zone or batch, intensive scanning, automatic put-away rules. The decisive criterion for going separate is the quality of integration with your specific ERP, so ask for references from real integrations rather than compatibility in principle.
Our warehouse team works on paper — how hard is the change?
Easier than everybody fears, with the right approach. Modern handhelds behave like a simple phone application: you scan, the screen states the next step, and the system guides rather than examines. A pilot in one zone with the most open-minded people builds the internal proof, and the argument that converts sceptics is lived in the first week, when hunting for goods and arguing at stock-take both stop. The non-negotiable part is discipline from the top, because tolerating movements without scanning sabotages the system directly.
