What is RFID?
RFID (Radio-Frequency Identification) identifies objects automatically through radio waves: a chipped tag on a product is read at a distance, without line of sight, hundreds at a time.
The stocktake that used to block the warehouse for two days finishes in two hours: an operator walks between the racks with a handheld reader while hundreds of tags answer by themselves over radio, with no boxes taken down and scanned one by one. That is the practical difference between RFID and barcodes. A barcode demands direct line of sight and one scan per item; an RFID tag is read at a distance, through packaging, in hundreds of copies simultaneously. Each tag carries a unique identifier linked in the system to the product, pallet or piece of equipment it sits on, so reader gates at goods-in and dispatch record movements automatically and the stock figure inside the ERP starts matching the warehouse without human effort. Applications reach well beyond the warehouse: tracking tools and equipment on construction sites, returnable containers, textiles in industrial laundries, and access control. The business decision is pure arithmetic, because a tag costs more than a printed barcode, so the technology justifies itself wherever the value of visibility — fast stocktakes, reduced losses, no forgotten scans — exceeds the cost per tag. RFID or barcodes — how do I choose for my warehouse?
Barcodes remain unbeatable on cost for simple flows at modest volumes. RFID wins where item-by-item scanning becomes the bottleneck: frequent stocktakes, bulk goods-in on pallets, items that go missing, or environments where labels get dirty or cannot be seen directly. Many warehouses combine them sensibly, with RFID on pallets and assets and barcodes at item level.
What does an RFID tag cost, and what equipment do I need?
Ordinary passive tags now cost a few euro cents each at volume, and the minimum infrastructure means handheld readers or fixed gates plus an RFID label printer. The underestimated component is software: integrating the readings with your ERP or warehouse system, where the data becomes stock levels and movements. Without that layer, the readers merely produce a noise of identifiers nobody uses.
Does RFID work on metal products or liquids?
Yes, but with the right tags: metal reflects radio waves and liquids absorb them, which disturbs standard labels. Special on-metal tags and placement techniques solve the problem, which is exactly why any serious project starts with a pilot on your real products in your real environment before buying at volume.
