What is an extranet?

The company's secure digital gateway to the outside: partners, dealers and business customers see their own orders, documents and account balances for themselves.

Add up the hours your sales office spends answering three questions — where is my order, what is my balance, can you resend that document — and you have the business case, already quantified, sitting in someone's phone log. An extranet is a private portal that gives named external parties controlled access to a slice of your systems: each dealer, supplier or business customer signs in and sees their own orders, prices, delivery status, invoices, warranty claims and documents, and nobody else's. It is not the public website, which shows the same thing to everyone, and not the intranet, which is for employees only. It sits deliberately between them, with authentication, permissions and an audit trail as the defining features. The gain is rarely just the saved calls. Partners who can place orders at eleven at night place more of them, dealers who see live stock stop ordering what is unavailable, and the switching cost of a competitor rises quietly every month a partner keeps their working history inside your portal. That last effect is the one that shows up in retention figures rather than in the project budget.

What is the difference between an extranet, an intranet and the public website?

Audience and access. The public website is open to anyone and shows identical content to all visitors. The intranet is internal-only, for employees. The extranet is for named external parties who log in and see a personalised slice — their orders, their prices, their documents. The technical distinction that matters is that an extranet needs identity, permissions and logging from the first day.

What integration does an extranet need to stay accurate?

It should read live from the systems of record rather than hold copies: the ERP for orders, stock, prices and balances, the document store for invoices and certificates, the courier interface for tracking. A portal built on nightly exports will show yesterday's stock, and partners stop trusting it after the second time yesterday's stock costs them a sale.

How do I persuade partners to use the portal instead of calling?

Make the portal better than the call rather than making the call harder. Order history and documents available instantly, live stock, reordering in two clicks, and a small commercial nudge — a discount, priority allocation or exclusive information for portal orders. Then onboard partners personally, one by one, because a login sent by email and never used is the normal failure mode.
