What is digitalization?
Moving a company's processes — orders, documents, approvals, records — off paper, out of phone calls and out of individual memory, into systems that hold them.
Scanning an order form and emailing the file is not digitalization. Nothing about the work changed: a human still reads it, retypes it, and remembers to chase it. Digitalization is the step after that — the process itself moves into a system, so the order arrives as structured data, reserves stock, triggers an approval that is recorded rather than remembered, and produces a document nobody had to type. The distinction matters because most disappointing projects bought the scanner and skipped the process. What a mid-sized company gains is rarely headcount reduction; it is capacity and certainty. The same team handles more volume because the retyping disappeared, answers to customer questions take seconds instead of three internal calls, and month-end stops being an archaeology exercise. In Romania the regulatory floor has risen as well: mandatory electronic invoicing, transport declarations and standard audit files mean a company still running on spreadsheets now pays for compliance in overtime. Start with the process that hurts most and produces the most paper, not with the software that demonstrates best.

Pick the one that is simultaneously high-volume, error-prone and visible to customers — usually order intake, invoicing or field reporting. It delivers a measurable result within a quarter, which buys the credibility needed for harder projects later. Starting with HR or archiving is common, comfortable, and rarely produces a number anyone remembers.
What does digitalization cost, and is funding available in Romania?
A single process automated well is typically a few thousand euros; an integrated ERP-plus-integrations programme runs into tens of thousands. European funds administered through Romanian programmes regularly co-finance software, equipment and training for smaller firms, at co-financing rates that make the effective cost a fraction of the invoice — worth checking before self-funding.
Our staff resist the change — how do we get past that?
Resistance is nearly always rational: the new system makes work visible, and the first version is slower than the habit it replaces. What works is involving the loudest sceptic in the design, removing the old path completely once the new one works, and making the first release genuinely easier for the people using it rather than for management reporting.
